Accounting Specialist – AP & Payroll Management
Company: Solid Knot Bookkeeping & Financial Services, LLC
Position Type: 1099 Independent Contractor
Location: Remote | Occasional Onsite Meetings – Southwest Atlanta, GA (Fulton Industrial / I-20 Area)
Schedule: Flexible, with established deadlines and meeting requirements
Position Overview
Solid Knot Bookkeeping & Financial Services is seeking an experienced, confident, and highly organized Accounting Specialist to support the Accounts Payable, payroll, vendor management, and operational accounting needs of a fast-paced, growing, multi-entity client.
This is not a traditional day-to-day bookkeeping position. A dedicated bookkeeper manages the daily bookkeeping activity within QuickBooks Online. The Accounting Specialist will work closely with our bookkeeping team while taking primary responsibility for managing bills, vendor accounts, payment processing, payroll, spreadsheets, and related accounting workflows.
The ideal candidate is someone who can independently manage multiple responsibilities, meet deadlines, communicate confidently with executives and project managers, and maintain strong accounting processes in an environment where priorities and business needs frequently change.
We are looking for someone who takes ownership of their work, identifies opportunities for improvement, and is comfortable speaking up when a process could be handled more efficiently or accurately.
Core Responsibilities
-
Manage Accounts Payable processes across multiple related business entities.
-
Monitor incoming vendor invoices and ensure bills are received, reviewed, approved, and processed accurately and on time.
-
Manage bills and payments through BILL (Bill.com), Saturation, vendor portals, and other payment platforms.
-
Access and maintain vendor accounts to retrieve invoices, review statements, research outstanding balances, and manage payment obligations.
-
Process approved ACH payments, vendor payments, employee reimbursements, and other authorized payouts.
-
Maintain spreadsheets and tracking systems for invoices, approvals, payments, payroll, and other accounting needs.
-
Coordinate with client executives, project managers, and other team members to obtain approvals and resolve payment or vendor-related questions.
-
Communicate directly with vendors regarding invoices, account balances, payment statuses, and discrepancies.
-
Review employee timesheets, coordinate necessary corrections, and process payroll according to established deadlines.
-
Manage payroll adjustments, deductions, reimbursements, and related reporting.
-
Prepare payroll reports and calculate labor costs as a percentage of sales when requested.
-
Monitor upcoming financial obligations, including vendor payments, payroll, rent, utilities, taxes, and recurring expenses.
-
Review available cash and expected deposits to identify potential funding concerns before scheduled payments.
-
Prepare Accounts Payable reports, upcoming payment summaries, and other information for management review.
-
Work closely with our bookkeeping team to ensure payments, payroll activity, and supporting documentation are accurately reflected in QuickBooks Online.
-
Research and resolve vendor, payment, payroll, and account discrepancies.
-
Participate in weekly virtual meetings and occasional onsite meetings.
-
Assist with implementing and improving accounting workflows, systems, and internal processes.
Accounting Systems & Process Improvement
We are actively working to streamline and automate Accounts Payable processes through platforms such as BILL (Bill.com) and Saturation.
An important part of this role will be assisting with the implementation and ongoing management of these systems, including vendor setup, invoice processing, approval workflows, payment scheduling, and coordination with existing accounting processes.
As these systems become fully operational, some manual responsibilities will decrease. We are looking for someone who embraces technology, identifies opportunities to eliminate unnecessary steps, and helps develop efficient, scalable accounting workflows.
Qualifications & Experience
-
Minimum 3 years of relevant accounting, Accounts Payable, or payroll experience preferred.
-
Strong experience managing vendor accounts, invoices, and payments.
-
Payroll processing experience required.
-
Working knowledge of QuickBooks Online.
-
Experience with BILL (Bill.com), Saturation, or similar AP automation platforms preferred.
-
Proficiency in Microsoft Excel and/or Google Sheets.
-
Experience supporting multiple business entities preferred.
-
Strong organizational skills and attention to detail.
-
Ability to manage competing priorities and recurring deadlines independently.
-
Excellent written and verbal communication skills.
-
Experience communicating directly with executives, project managers, employees, and vendors.
-
Ability to research discrepancies and resolve problems without constant supervision.
-
Comfortable learning new accounting systems and adapting to changing processes.
The Ideal Candidate
We are looking for more than someone who can process invoices and payroll.
Our clients operate in fast-paced environments where leadership is involved, priorities can change, and accounting processes may be questioned or challenged.
The right candidate must be:
-
Confident: Comfortable explaining accounting processes, decisions, and completed work.
-
Professional Under Pressure: Able to handle direct communication, competing requests, and constructive criticism without becoming defensive.
-
Independent: Capable of managing responsibilities and deadlines without constant oversight.
-
Proactive: Identifies potential issues and addresses them before they become larger problems.
-
Solutions-Oriented: Willing to recommend better processes rather than simply following inefficient procedures.
-
Adaptable: Comfortable supporting growing businesses and evolving accounting systems.
-
Assertive but Respectful: Willing to professionally push back when a request creates accounting concerns, unnecessary work, or potential risks.
-
Accountable: Takes ownership of responsibilities, follows through on commitments, and maintains accuracy.
We value individuals who can build strong client relationships while maintaining professional boundaries and sound accounting practices.
Schedule & Work Arrangement
This is a 1099 independent contractor opportunity offering flexibility in when work is completed.
Contractors are responsible for meeting agreed-upon deadlines, including payroll processing, vendor payments, recurring accounting responsibilities, and scheduled meetings.
Routine client communication is generally expected to occur during normal business hours of 8:30 AM–4:30 PM Eastern Time, Monday through Friday.
Occasional after-hours communication or meetings may be necessary depending on client needs and critical deadlines. However, constant evening and late-night availability is not an expectation of this role.
Additional requirements include:
-
Participation in weekly Zoom meetings.
-
Regular communication with client leadership and project managers.
-
Occasional onsite meetings in the Atlanta, Georgia area.
-
Ability to manage assigned responsibilities independently in a remote environment.
